Volunteer Policy and Requirements

Brooklyn Park Baseball Association Volunteer Policy

BPBA asks that all families take an active role in this association.  We require our House League families (6/7NL, 8/9NL, 9/10AL, and 11/12 NL) to volunteer a minimum of 6 hours per player/ per season.  We require our Traveling League families (10U, 11U 12U) to volunteer a minimum of 12 hours per player/per season.

NOTE: There is a family cap of 18 hours if you have multiple players in the program
 

For ALL players registered with BPBA, we will be collecting Volunteer Deposit checks.  This check is held securely and will ONLY be cashed if volunteer hours are not met.  Many emails regarding unfulfilled hours will go out before this time to allow parents to work the hours.  However, once the house league season is done, there are limited hours to choose from so we encourage you to pick out hours early.  

House League Players:   A separate volunteer deposit check for $200, is required for each player. This check will be handed in at or before uniform distribution. All uniforms will not be handed out without all volunteer deposit checks.  

Parents of House League players will have the option to "Opt Out" of volunteering by providing a $175 check to BPBA.  This check will be cashed right away.

Traveling Players:  A separate volunteer deposit check for $400 is required for each Traveling Player.  This check will be handed in during or before uniform distribution.  All uniforms will not be handed out without all volunteer deposit checks.  There is NO buyout for traveling player's DIBS hours.

Volunteer Opportunities

There are many opportunities for your family to volunteer.    If you have any questions or would like to help out in a way that is not listed below, you may contact us for consideration. 

Examples of positions include:

  1. BPBA Board Member
  2. Head Coach, Assistant Coach, (Each team is allowed 1 head coach and 1 assistant coach
  3. Concessions and Field Maintenance at games and tournaments
  4. Dome Nights
  5. Equipment Handout and Return
  6. Uniform Handout and Return
  7. Tournaments
  8. Board Member approved duties

Examples of positions that are NOT included:      

  1. Helping out at practices or bookkeeping.  While any help you can give to the coaching staff is appreciated, coaching is a season long commitment.
  2. Team party planning

Parents are required to fulfill the volunteer requirement.   Youth 16 years and older may be considered to work, but this is at the discretion of BPBA Board.  

Signing up for Volunteer Opportunities

All volunteer opportunities will be handled by DIBS software located on the BPAA website.   Please sign in by using your username and password and selecting the DIBS button.   All available opportunities are on a first-come, first-serve basis.  An email will be sent out to all families whenever there is an opportunity available.  If you have any questions, please contact us.

If you find you have a conflict and cannot volunteer, we ask that you notify us 3 days prior to the volunteer date.  Please do this by going into your DIB session and hitting the cancellation button.  If it is less than 72 hours you must contact the DIBS Director, Michelle King (email link above).  We understand that conflicts come up during this busy time of year. However, we still need to make sure our games and tournaments run smoothly, and this is only possible with volunteers.  If you do not show up for 2 volunteer slots and no attempt to notify or cancel the slot has been made, then your check will be cashed immediately.  Additionally, if you cancel with less than 24 hours notice twice, your check will be cashed immediately.

 

Rain delays are inevitable.  The directors will make the decisions concerning your volunteer time.  If you are sent home with the expectation of returning at a later time, then you must return or risk forfeiting your volunteer slot.

Volunteer Signup "DIBS"

You must login to Sports Engine with the account connected to your child's account (usually the parent/guardian who registered the player).   In the upper right-hand corner under the BPAA Logo, you will find a tab labeled "DIBS".   https://www.bpaasports.org/dib_sessions

After going into that page, you will see a Volunteer slot for 2024 Volunteer Shifts.  It will state House League or Travel League.  The opportunities are the same but your account will be linked to the league you are registered for so please click into that session.    Select that, and it will bring you to the volunteer slots that are available.

Once you select a slot, it will ask you a few questions to make sure we have information on our end that we will need.  PLEASE INCLUDE AN EMAIL AND PHONE NUMBER in case there is a rain or game delay so that we may contact you for your convenience. 

 

When you are at the field or event you sign up for you will also need to make sure you "sign-in" with the proper person at the each volunteer shift (we will make that apparent).  You will be credited for that worked shift after that shift has been worked - this does take up to a week to update the system, please be patient!

If volunteering at the concession stand, you will be quickly trained on the operations of the concession stand. Please try to be on time. If you are more than 10 minutes late for your shift, we will find someone on the field to replace your shift.

If you select a closing shift at the concession stand,  you are signing up to be on the concession stand clean-up crew too, meaning you will have to make sure the concession stand is clean prior to leaving for the night. Typically, these volunteers are out of the concession stand within 20 minutes after the games are done. 

Most volunteer shifts will include working at our concession stand at Northwoods. You can have someone else work your shift for you; there is a field to complete when signing up that does ask this question (Who is working the shift?).

Our Fundraising is done through our Concession Stand at Northwoods Park. 

 

State law states one must be 16 years of age to work the grill in the concession stand.  There are absolutely NO EXCEPTIONS to this!

Remember, the funds raised at the Concession Stand helps to lower all our costs. Take a look at the cost of playing baseball in our surrounding communities and you will notice a significant difference in registration costs at our progam!
