BPAA MINUTES FOR SEPTEMBER 27, 2005
 
The meeting was held at 7:30 p.m. on Tuesday, Sepember 27, at the Brooklyn Park Community Center.
 
ATTENDEES:
*    Dede Boelter, Valerie Leone, Wayne Heuer, Dave Corbett, Dave Gulbrandson, Tami McClure and Jay Lotthammer.
 
SECRETARY'S REPORT - Dede:
*    M/S/P.
 
TREASURER'S REPORT - Dave:
*    The first payment of $25,000 was made to Jay for the storage shed.  For now it is entered as a negative number.  May tweek how this is entered in the Balance Sheet in the future.  We don't have a final cost for the shed yet.
*    M/S/P.
 
CITY - Jay:
*    Jay brought along the class from Planning & Managing Sport Facilities at Concordia College to observe.  Then they were going to tour the Community Center.
*    The City is busy with cutting and clearing trees and assessing damage from last Wednesday's storm. The playing fields fared well.  Because of this crews are not painting/maintaining fields right now. 
*    The dugout roofs at the Zane complex sustained some damage.
*    Not sure how fencing fared on various fields.
*    The storage shed looks good.  We don't have a completion date yet.  Waiting for delivery of the metal roof.  The doors are on and locked.  Walls are up with the layout we wanted.  Regarding bins for basketballs/footballs etc., we may hold off for now.  Get the shed done and then figure out how/where storage bins will go.  Hopefully move in will be mid-October.  Jay will e-mail everyone with the date. 
*    The new marquee is working well.
 
FOOTBALL - no Markus.
 
BASEBALL - Wayne:
*    The Association voted to go to 13 year olds and include traveling.  It didn't work out with Babe Ruth.
 
BASKETBALL - Tami:
*    Registration is finished.  The last in-person registration was canceled cause it was set for September 21 - the day of the storm.  They will continue to take on-line registrations.  Right now they only have about 60% of the players they had last year.  Figure this is because so many sign up at the last registration. 
*    The new scholarship process is going okay.  For a scholarship they are asking for a driver's license and most recent W-2.  If not working need most recent Determination of Eligilibity form regarding unemployment benefits from the State.  Scholarship is 50% of actual registration fee.  If parent/guardian still can't pay there is a sliding scale according to income.  There is no discount for multiple children/players.  No discount for child/ player playing in multiple sports.  There is a $3,000 cap for scholarships.
*    Tried checking the NSF list at registration.  Was very difficult and time consuming so stopped doing it.  Will have to check player names to the NSF list when they are put into the system.  Did require phone numbers on checks.  Still working on the best way to handle this.
*    Wayne made one point from past experience - make sure a check has cleared before issuing a refund.
*    Have usually had one registration/sign-up at the Brooklyn Center Community Center.  Turn out was poor and the Community Center did a bad job organizing/setting up for it.  May discontinue future registrations there
*    The coaches' meeting is set for October.
*    We don't have time slots for practices yet.  Richard is going to help out with that.
*    Need to set up a meeting with CPAA board to go over the rules and discuss tournament costs.
 
SOFTBALL - Dave C:
*    Had the appreciation dinner at Kelly's in mid-September for the board members.
*    Will have a meeting in October.
 
SOCCER - Dave G & Valerie:
*    Valerie is the vice chair and equipment person.  Is stepping in for John for a few months.
*    Will have a meeting in October.
*    Will work on a scholarship policy for next year.
 
OLD BUSINESS - 501(c)(3):
*    Contributions should be made to BPAA and send to Dave Corbett's home address.
*    Can a person specify where their contribution goes go?  i.e. football or the shed?  They should be able to. 
*    Funds received non-specific will go into a general fund and then we'll divide it up 5 or 6 ways at the end of the year.  Will decide once we have this "problem." 
*    If someone just writes a check or some such to BPAA sports, can a receipt be issued stating it's a donation?  We should be able to send a letter to that person or organization confirming receipt and that it's a donation.
*    Dave G will put a donation blurb on our website.
*    Tami has a meeting with Wells Fargo powers in two weeks.  Needs some information so can present a donation request, especially since there is a Wells Fargo bank a couple blocks from the storage shed.  Dave will call Jim Hoskins to get the information Tami needs.
 
NOMINATIONS -
*    Please advise if you or anyone you know is interested in running for a board position by October 24.
